Preparation for ERP/BI project implementation

Context and Session Description:

  • Digital transformation became one of the strategic pillars for most of the companies in the world. Shareholders recognize that it is strategic imperative in today´s world to have data flow in most clean and simple way – enabling fast and good business decision making. This goal can only be achieved by having flawless systems, clear data structure and aligned IT landscape.
  • While some 10-20 years ago, most of the Digital Transformations were linked to  so called “ERP wall to wall” implementations, where all organizational capabilities were implemented in one system – recently (last 5-10 years) most of the companies are moving towards more agile approach by implementing (smaller and leaner) Finance ERP core for transactional (and legal) requirements while all other capabilities (e.g. logistics, procurement, business planning) are incorporated in specific and separated Business Solutions.
  • This “new” approach in ERP implementation enables companies to be more agile (e.g. business solutions can be replaced every 5 years while core Finance ERP can probably last for 8-10 years if not more) and be more flexible to ever changing business requirements. Moreover, importance of so called “connection layers” between business solutions and ERP is crucial.
  • On top, once the data systems are well implemented to enable business decisions, Management Reporting through Business Intelligence is usually implemented. The success of implementation and organizational adaption is highly depended on the data quality (ERP and Business Solutions)
  • To ensure a successful ERP implementation, it is essential to prepare the organization and system – mostly done through cleaning (and cleansing) the existing data and mapping present and future processes.

Session goals and Learning Outcomes:

  • Understand the evolution in ERP implementation and change in the approach. Discuss implementation approaches (e.g. agile or waterfall) for each of the ERP implementation stages
  • Go through the phases of ERP and BI implementation and how to best prepare for it
  • Understand risks and opportunities in implementation process and how to ensure business benefits of such implementations 

To whom the workshop is intended:

  • Senior and operational managers who are preparing for the ERP and BI implementation
  • Project managers and teams who are looking for external examples, best practices, learning from others
  • Finance and supply chain teams who will always be heavily involved in ERP implementation

10:30 – 11:30 Introduction in ERP and BI implementation

  • Strategic intend and context. Understanding the market dynamic and benefits
  • Look into different approaches, market practices, and implementations
  • Look into all business value lenses: Systems, People, Process, Data and Organisation

11:30 – 11:45 Coffee break

11:45 – 13:15 Project implementation plans including Risks and Opportunities

  • Go through processes and project implementation stages
  • Show examples of roadmaps (prep, build, test, deploy, sustain)

                      Deep dive into Prep stage

  • Data and organizational readiness and what is needed to best prepare
  • What are key activities

13:15 – 14:15 Lunch

14:15 – 15:45 Team activity / Practical workshop

  • Split in smaller project teams and work together on the implementation roadmap including “what is required”
  • Share and learn from each other. Provide feedback

16:00 – 17:30 Business Solutions and Products on top of the ERP (BI, Customer experience tool, etc.)

  • Once the ERP is implemented how to leverage on flawless data by implementing tools e.g. Business intelligence and other Management Reporting
  • Implementing and following KPIs

Luka Šomen
 

Luka Šomen, MBA, CFO / Finance Director DACH (Germany, Austria, Switzerland),Imperial Brands PLC. Trenutno je zaposlen u Imperial Brands kao CFO DACH (Njemacka, Austrija, Svicarska). Imperial Brands, 1.5 milijardi € turnover kompanija sa 700 zaposlenih. Prije Imperial Brands Luka Šomen 4 godine vodio je financije za HEINEKEN Njemačku, gdje je kompanija ostvarila 100% rast prihoda i tržišnog udjela. Od lipnja 2024., radio je u Amsterdamu u globalnom uredu HEINEKEN Group na Mergers & Aquisition projektima diljem svijeta sa fokusom na Sjevernu i Juznu Ameriku. Završio je MBA program na Zagrebačkoj školi ekonomije i menadžmenta te je završio fakultet na američkom sveučilištu Virginia Tech sa dvije diplome; Investment Finance & Insurance Law te International Management. U Austriji je radio 2012. u kontrolingu proizvodnje pive, 2013. u Brazilu na implementaciji SAP I BI, 2014. i 2015. u Nizozemskoj na globalnoj strategiji, te od 2015. do 2017. u Hrvatskoj u komercijalnom kontrolingu/Revenue Managementu. Zadnjih godinu i pol radi u Nizozemskoj kao Global IT Controling Manager. Započeo je pripravničku karijeru u Heineken International Graduate Programme u Amsterdamu, Nizozemskoj, na poziciji Global Strategic Planning & Business Control; Heineken Brasil, São Paulo, na poziciji Business Controlling & Planning; Brau Union Austria u Linzu (član Heineken grupe) na poziciji Business Controlling & Planning. Tijekom rada u FMCG industriji (trenutna pozicija Senior Commercial Controller, HEINEKEN Croatia) stekao je iskustvo u korporativnim financijama s naglaskom na kontroli poslovanja, financijskoj analizi, planiranju, poslovnoj strategiji, upravljanju projektima i sustavima / implementaciji procesa. Kao praktikant je radio u Coca Cola Hellenic u Zagrebu, a profesionalno se bavio tenisom te nastupao na grand slamovima (Australian Open).
